SchoolOpsAI ("we," "us," or "our") is committed to protecting the privacy of students, educators and district administrators who use our platform. This Privacy Policy explains how we collect, use, store and safeguard information when you use our website and services.

Information We Collect

We may collect the following types of information:

  • Account information: Name, email address, role and district affiliation provided during registration.
  • Student data: Student records, enrollment, attendance, grades, demographic and behavioral data imported from your district's student information systems. This data is provided by and owned by the district.
  • Usage data: Information about how you interact with our platform, including pages visited, features used and session duration.
  • Phone number: Mobile phone number provided when you opt in to SMS-based two-factor authentication (MFA). Your phone number is used solely for delivering verification codes during login.
  • Contact form submissions: Information you provide when contacting us, such as name, email and message content.

How We Use Your Information

  • To provide, maintain and improve our services
  • To generate AI-powered insights and analytics for your district
  • To communicate with you about your account or our services
  • To send SMS verification codes for two-factor authentication when you opt in to SMS-based MFA
  • To ensure compliance with applicable laws and regulations
  • To detect, prevent and address technical issues or security threats

FERPA Compliance

SchoolOpsAI operates as a school official with legitimate educational interest under FERPA. We only access student education records as authorized by the district. We do not use student data for advertising, marketing or any purpose unrelated to the educational services we provide.

Children's Privacy

SchoolOpsAI is a platform used by school and district staff. Students do not have accounts and do not interact with the platform directly, and we do not collect personal information directly from students or from any child. Student data reaches us only from systems the district already operates, such as its student information system and rostering providers, and only under a signed data sharing agreement with the district.

Where information about children under 13 is processed, we act on the district's instructions. Under COPPA's school consent provisions, the district acts as the parent's agent and holds and manages verifiable parental consent. Our data sharing agreement with each district commits us to COPPA alongside FERPA, SOPIPA and PPRA. We do not use student data for advertising, marketing or targeted advertising, nor to build profiles for any purpose other than the services the district contracted for. We do not sell student data.

Parents seeking to review, correct or request deletion of their child's information should contact their school or district, which controls the record. We support districts in fulfilling those requests. See the Data Retention and Deletion and Your Rights sections below for how we handle deletion and access requests.

Data Security

We implement industry-standard security measures to protect your data, including AES-256 encryption at rest, TLS 1.2+ encryption in transit, role-based access controls and comprehensive audit logging. Our infrastructure is hosted on AWS with VPC isolation and automated backups.

SMS Communications

If you opt in to SMS-based two-factor authentication, we collect and store your mobile phone number for the sole purpose of sending verification codes during login. Your phone number is not used for marketing, advertising or any purpose unrelated to authentication. We do not sell, share or disclose your phone number or SMS messaging data to third parties. Phone numbers collected for SMS verification are used solely for authentication purposes. You may opt out of SMS messages at any time by replying STOP, or by switching to an authenticator app within the platform. Message and data rates may apply. Data Sharing

We do not sell, rent or share student data with third parties for commercial purposes. We may share data only with service providers who assist in operating our platform and who are bound by confidentiality obligations, or as required by law.

Data Retention and Deletion

We retain district data for the duration of our service agreement. Upon termination of services, districts may request export or deletion of all their data. We will fulfill deletion requests within 30 days.

Your Rights

Districts and authorized users have the right to access, correct or delete their data at any time. Parents and eligible students may exercise their rights under FERPA through their school district. For any data-related requests, please contact us at info@schoolops.ai.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify affected districts of any material changes via email or through the platform. Continued use of our services after changes constitutes acceptance of the updated policy.
